Amazon verification stuck: how to pass identity and address checks

Amazon's seller verification rejects documents on details, not on suspicion. A bank statement without a full address, a utility bill three months too old, a company name that reads slightly differently on the register than in Seller Central: any one of those produces the same unhelpful rejection. The fix is almost never to send the same document again, it is to work out which field failed and send a document that shows it clearly.

The rule that explains most rejections

Before you upload anything again, open Account Info in Seller Central and read the legal entity details against your registration document and your bank statement side by side. Fix Seller Central to match the official records, not the other way round.

What each document has to show

    Identity document

    Passport or national identity card, unexpired, all four corners visible, no glare across the machine-readable strip, and a colour scan or photograph rather than a photocopy. Photograph it flat on a plain surface in daylight. Crop nothing.

    Bank account statement

    Must show the bank's name or logo, the account holder's name matching the account, the full address, and the account number. Usually within the last 180 days. Downloaded PDFs from online banking are accepted. Screenshots of a banking app are typically not, because they lack the address.

    Proof of address

    A utility bill, bank statement, or credit card statement, generally issued within the last 180 days, showing your name and the address exactly as entered in Seller Central. Mobile phone bills are often rejected. Anything with a PO box address is rejected.

    Business registration

    The official extract from the company register in your country, showing the registered name, number, address, and the directors or officers. It must show you as an authorised person, or you need a separate letter of authorisation.

    Tax registration where requested

    The tax identifier registered to the same legal entity. A mismatch between the tax record and the company record produces a rejection with no explanation of which side was wrong.

Formatting mistakes that cause silent failures

  • Cropped edges. Any document with a corner cut off is treated as altered. Include the full page including the margins.
  • Black and white scans. Send colour. Amazon's reviewers look for the security features that only appear in colour.
  • Editing software in the metadata. Never open a document in an image or PDF editor to straighten or brighten it. Files showing edit history get rejected as tampered.
  • Password-protected or watermarked PDFs. Bank downloads sometimes carry both. Ask the bank for a clean copy.
  • Text overlays or annotations. Do not add arrows, highlights, or notes explaining what to look at.
  • Wrong file type or oversized files. Stick to a standard PDF, JPG, or PNG within the stated size limit.

Breaking a rejection loop

  1. Stop resubmitting the same file. Three identical uploads produce three identical rejections and add nothing to your case.
  2. Change one variable at a time. A new bank statement, or a corrected address in Seller Central, but not both at once, so you can tell what fixed it.
  3. Ask Seller Support which field failed. Reference the verification case ID and ask specifically which document and which field did not match. Support cannot always say, but it is worth one clear request.
  4. Try the video call route if offered. Amazon offers a live verification appointment in some regions and it resolves cases that document uploads will not. Join from a quiet room with the original physical documents in hand.
  5. Escalate if a genuine mismatch cannot be reconciled. For example, a legal name change or a company that has moved. That needs an explanation with supporting documents rather than another upload.

While verification is pending

Disbursements are usually held until verification completes, but your obligations to buyers are not paused. Keep fulfilling orders with valid tracking. Sellers who stop shipping during a verification hold typically end up with an account-health problem on top of the verification one, and the held balance shrinks with every refund.

A clean submission is often reviewed within a few business days. Loops caused by a mismatch can run for weeks, because each rejection restarts the cycle. Identifying the failing field is what shortens it, not resubmitting faster.

Why does Amazon keep rejecting my bank statement?

Most often because it does not show the full address, it is a screenshot rather than a statement, it is older than the accepted window, or the account holder name differs from the seller account name. An official PDF downloaded from online banking usually solves it.

Can I use a virtual office or mail forwarding address?

Amazon requires an address where you can receive post and that matches your official registration and utility documents. Virtual addresses often fail the postcard or document check, so use the registered business address.

Are my funds released once verification passes?

Normally yes, disbursements resume on the next cycle once verification is complete and no other hold applies. If money remains held afterwards, there is a separate reason, and it is worth checking Account Health for it.
